Dear XXX,

With regard to your concern about the services you got
on the 6 October, I have checked with the reception and
as a result I am in a position to respond.

Due to season reason, the room available is limited.
We asked for a booking fee form you, but we did not
receive the fee. As a result of this , there was no
reservation record with your name. We checked the
details on your booking and arranged your room again ,
so this made you waite for 45 minutes.

Secondly, because the the receptionist got an booking
call, when you were booking the meeting room, with the
interruption, she double booked the meeting room . I
apologize for our mistake.

Finally, following your letter, we realized that there
was disagreements with the policy, and we arranged an
meeting to discuss our environment policy with the towels.

I apologize for any inconvenience caused. I would like to
offer a complimentary single room for your next trip. We
look forward to your visit in the future.
